NOTICE OF ELECTIONS AND CALL FOR NOMINATIONS

To all Quebec Region members:

The term of office for the current members of the Regional Executive will be ending on May 5, 2018. 

Therefore, the Regional Council members will need to elect a new Regional Executive.

The elections will be held on Friday, May 4, 2018, at 3:30 p.m. at l’Hôtel Cheribourg in Orford, Quebec.

In accordance with Regulation R5.2.3.2 (see Appendix 2) of the Quebec Region By-Laws, the following positions will be up for election.

  • One (1) Treasurer
  • One (1) Secretary
  • Four (4) Branch Presidents
  • Four (4) Regional Council members

The term of office is three (3) years, starting immediately after the Regional Council. The Regional Executive will therefore consist of 10 elected members and one director.

Election Process

First, a vote will be held by secret ballot for the four (4) Branch President positions. Note that the By-Laws stipulate that only Branch Presidents are entitled to vote on these positions.

The order of voting for the other positions will be as follows: Treasurer, Secretary, and the four (4) Regional Council members. All Regional Council members in attendance are entitled to vote on these positions.

Nomination Process

All Regional Council members are eligible to run for office.

Members can run for more than one position.

However, only Branch Presidents may run for the Branch President positions.

Candidates are asked to submit with their nomination a photo and a brief résumé in Word format of their experience and goals (maximum 300 words).

Please note that it is the responsibility of candidates to review their résumés before they are submitted.

The résumés will not be proofread and corrections will not be made.

Nominations must be received no later than 5 p.m. on Friday, April 6, 2018.

You must apply and send your résumé by using the attached form (see Appendix 1). You can apply for more than one position with a single form. Nominations received after the deadline will not be accepted. The nomination form must be sent to the attention of d’Anne Renaud at arenaud@pipsc.ca.

Candidates should contact Anne Renaud to confirm receipt of their nomination form and résumé prior to the deadline.

R5.2.3.2  Notice of Election

The Elections Committee shall distribute an Election Notice to all members of the Council at least six (6) weeks prior to the closing date for nominations along with a nomination form for vacant positions and a formal notification including the election date and the deadline for the submission of nomination forms.

R5.2.3.2.1 If more than one (1) candidate is running for the position of Secretary or Treasurer, a ballot election will be held.  The candidate receiving the highest number of votes for the position of Secretary or Treasurer shall be declared elected.

R5.2.3.2.2 If more than four (4) candidates are running for the positions of a member of the Regional Executive and Branch President positions, a ballot election shall be held.

- If after the initial voting two (2) or more candidates are tied for Council positions and Branch President positions the Elections Committee shall run another election that includes only the candidates that were tied in the initial vote.

- The four candidates receiving the highest number of votes for the positions of member of the Regional Council or Branch President shall be declared elected.

R5.2.3.3 The new Executive shall take office immediately after the meeting in which they were elected. General elections will be held in the years immediately preceding the years evenly divisible by three (3), 2012, 2015, etc.

The Elections Committee shall inform the members of the Elections results at their earliest.
