The Ontario Regional Executive have selected the Westin Trillium House Blue Mountain, Collingwood for the 75th Ontario Regional Council meeting taking place on Friday April 5, 2019 and Saturday April 6, 2019.  The location details are:

The Regional Council is the governing body of the Region.  It shall direct programs and activities within the region, review the disbursement of regional funds, consider any matter brought before it by branches, and submit proposals and recommendations to Institute national bodies.

DELEGATE ASSIGNMENT PROCESS

As per our By-Laws, the delegate count is one (1) per one hundred (100) members in the Region, plus (11) delegate seats assigned to the Regional Executive members.  Branches are responsible for the selection of their Branch delegates. Once your Branch has confirmed your delegate status, please register online http://www.pipsc.ca/portal/page/portal/website/regions/ontario/regional_registration 5:00 p.m. Friday March 1, 2019Registration requests will not be accepted by telephone or by email.

ALTERNATES

In the event that a delegate cannot attend the meeting, alternates shall be appointed by the respective Branch.  If an alternate is not appointed, the seat shall remain vacant.

OBSERVERS

Observers are welcome, but no expenses, including the Regional Council lunch, will be paid. Observers can be sponsored by a Branch or self-funded.  If the observer is sponsored by a Branch and requires hotel accommodation, the Branch will be billed by the Institute.  To ensure sufficient space and seating arrangements, names of all observers are required by Friday, March 1, 2019. Observers may be called upon to become delegates if vacancies become available.  Observers are responsible for booking their own travel and accommodation.

The Council will be one and a half (1.5) days, starting on Friday at 1:00 p.m. with registration starting at 12:00 p.m.  The Council will continue on Saturday at 9:00 a.m. and will conclude at 4:00 p.m.  No scheduled events will take place on Saturday evening.

Detailed information about the agenda will be posted to the virtual binder prior to Council.  

Guest rooms will be reserved through the Toronto office after you have registered on-line and your delegate status has been confirmed in writing from this office.  Confirmation letters will be sent out beginning the week of March 4, 2019.  In the event of a requirement to cancel, you MUST inform me of your change of plans.  If staff can not be reached in a timely manner, 24 hours before the event, then YOU are responsible for the cancellation, and if you have not done so, you may be billed for the hotel costs directly.

REGISTRATION FORM

The online registration form must be completed by Friday March 1, 2019.  Please complete your registration form by the deadline to ensure that we have sufficient guest rooms and meeting space reserved for all participants.  After March 4, 2019, all guest rooms unaccounted for will be returned to the hotel and it may not be possible to accommodate late requests, as the Region will not overbook rooms.  If the on-line registration is not completed by the deadline, the reservation will not be made.  Telephone registration will not be accepted.

CONSTITUTION & BY-LAW CHANGES

Any proposed changes to the Ontario Region Constitution & Bylaws must be submitted to the Toronto office at least four (4) weeks prior to the date of the meeting or no later than Friday March 8, 2019.

RESOLUTIONS

Resolutions (if applicable) should be typed and emailed to me in “Word” format at hkohli@pipsc.ca or faxed to (416) 487-7268 or (800) 281-7280 by Monday March 18, 2019, to ensure there is enough time for translation and posting to the virtual binder on the PIPSC website. 

Resolutions will be dealt with in the order in which they are received at the PIPSC Toronto office, followed by resolutions from the floor.

NOMINATIONS FOR REGIONAL EXECUTIVE

Nominations are being accepted for five (5) – two (2) year positions, to be elected at the Council meeting.  A nomination form can be submitted in advance to the Elections Committee (information will be posted on the virtual binder) or at the Council meeting on April 5 and 6 prior to the elections.
