76th Ontario Regional Council - October 22 to 23, 2021

On behalf of the Ontario Region Executive, we welcome you to the 76th Ontario Regional Council (Hybrid) taking place on Friday, October 22 from 1:00 p.m. to 4:30 p.m. and Saturday, October 23 from 9:00 a.m. to 5:00 p.m. at the JW Marriott Muskoka located at 1050 Paignton House Road, Minett. Delegate Assignment
As per the Ontario Region Bylaw 5.5 Delegates to the Ontario Regional Council shall be comprised of a minimum of one (1) delegate for each one hundred (100) members and a maximum of one (1) delegate for each fifty (50) members as of the 31st of December, rounded to the nearest one hundred (100). Wherever possible, each Branch shall be represented by at least two (2) delegate(s). The members of the Regional Executive shall be ex-officio delegates to the Regional Council. The remaining delegates shall be allocated in proportion to Branch populations.
Bylaw Changes
Any proposed changes to the Ontario Region Constitution & Bylaws must be submitted to the Toronto office at least four (4) weeks prior to the date of the meeting or no later than end of day Friday September 24, 2021.
Resolutions
Resolutions (if applicable) should be typed and emailed to hkohli@pipsc.ca in “Word” format by Friday October 8, 2021, to ensure there is enough time for review and posting to the virtual binder.
Resolutions will be dealt with in the order in which they are received at the PIPSC Toronto office, followed by resolutions from the floor.
Nominations for Regional Executive
Nominations are being accepted for five (5) – two (2) year positions, to be elected at the Council meeting. A nomination can be submitted in advance to the Elections Committee or at the Council meeting on October 22 and 23, 2021, prior to the elections.

Alternates
In the event that a delegate cannot attend the meeting, alternates shall be appointed by the respective Branch. If an alternate is not appointed, the seat shall remain vacant.
Observers
Observers are welcome, but no expenses will be paid. Observers can be sponsored by a Branch or self-funded. If the observer is sponsored by a Branch and requires hotel accommodation, the Branch will be billed by the Institute. To ensure sufficient space and seating arrangements, names of all observers are required by Tuesday September 22, 2021. Observers may be called upon to become delegates if vacancies become available. Observers are responsible for booking their own travel and accommodation.

Information will be added to the virtual binder on the CVENT webpage as it becomes available.
Did you know that PIPSC is using a new meeting platform called CVENT for all of our events now? All event related emails, event invitations, confirmations and reminders will be sent using CVENT going forward. If you are expecting an email about an event and haven't received it, please make sure to check your spam folder or contact me directly.
As well, all event related material will now be posted on the CVENT webpage. It's important that you familarize yourself with this webpage so that you can stay informed of the agenda (in case it changes), event material (added before and after the event), PIPSC policies, leave forms, etc. Binders will no longer be available at PIPSC events. If you would like to have any documents with you at the event, please print it at home before heading to the Council.
If you are attending the meeting virtually, you will receive a Zoom registration email approximately 1 week before the Council. You will have to register to get your secure link.
All travel such as booking flights and rental cars can be made by going to your CVENT confirmation email, select "view or modify your registration" at the bottom of your email, enter your confirmation number noted on your email and select "Click here" for Concur. If you need to make train or car reservations, please call BCD Travel at 1-866-768-7624 and let the Agent know what meeting you're attending (i.e. Ontario Regional Council) and quote the Meeting ID Code from your confirmation email. Please note, the meeting code will change for every meeting.
