When is the PIPSC AGM 2024?

The PIPSC Annual General Meeting (AGM) will start at 8:30 am Eastern on Friday, November 8 and adjourn Saturday, November 9 at 5:30 pm Eastern.

Where will the AGM 2024 be held?

The AGM 2024 will be hosted as a hybrid event, taking place at The Sheraton Centre Toronto, located at 123 Queen Street West, Toronto, ON M5H 2M9; with access to the sessions through our virtual platform.

Where can I find the AGM 2024 agenda/schedule of events?

The agenda and schedule can be found in your registration confirmation email. Additional information can be found on the Institute’s Website or through our Event App available to registered delegates in late October. Please note that the agenda and schedule are subject to change, and referring to the Event App will provide the most current information, as details will be updated in real-time.

Will the AGM be held in person?

The AGM 2024 will follow a hybrid format. Delegates can register for in-person or virtual participation. All other members are invited to view the live stream of the event. Please note, the live stream option will be for viewing purposes only, and you will not be able to interact or vote.

What do I need to do to participate virtually in the PIPSC AGM 2024?

Virtual delegates will be provided with their voting credentials from Lumi via email one (1) week prior to the AGM to allow for time to setup up your profile in the online system. Delegates will be able to log in to the meeting 30 minutes prior to the start of the AGM. 

Virtual delegates who have registered for any ancillary meetings held in advance of the AGM will be able to log into the meeting through the Zoom platform. Zoom links will be shared in the Cvent HUB.

Is a one-day registration available?

No, registration is for all days of the AGM.

How do I register as a Delegate?

You would have received an invitation to register on August 19th. If you were chosen as a delegate and did not receive an invitation email, please contact us at aga-agm@pipsc.ca.

What additional events are taking place during the PIPSC AGM 2024?

Financial Forum - November 7th, 7 - 9PM

Join the Finance Chair for a review of the 2024 Financial Statements and proposed 2025 budget. This hybrid session will be held both in person at the hotel as well as streamed live for virtual participants.

MAD Dash - Saturday, November 9th, 6 - 7:30AM

Rise and shine, we're back! Join us for this year's MAD (Masochists At Dawn) Dash. We'll be up and at 'em' early Saturday morning, making our way together up University Avenue to Queen’s Park. The walk is about 30 minutes (2.1km) each way. 

Member Engagement Networking Lunch - Friday November 8th, 11:45AM - 1:15PM

Grab your lunch and join the Member Engagement team for a networking event. Meet members who are doing on-the-ground engagement to grow our active member base. Share your best practices, discuss challenges, and build connections. All members are welcome, especially folks who do outreach and engagement (eg. organizing events and activities).

Steward Networking Lunch - Saturday November 9th, 11:45AM - 1:15PM

Grab your lunch and join your National Steward Officer, Paul Andres and Steward and Member Engagement Coordinator, Linda Thompson, for a Steward networking event. Learn about the Steward Framework, as well as available resources and tools. Share your experiences and best practices as we discuss challenges and successes in networking, and explore how we can do better together in supporting our colleagues in the workplace.

How do I register for a session or meeting? (eg. Financial Forum, Delegate Caucus, Ancillary Meeting)

You can register through the AGM registration system which is linked within your invitation to register.

How do I book travel and accommodations?

Hotel reservations must be made through the AGM registration system and flight reservations need to be processed through the Concur Travel link provided on your registration confirmation.Delegates are not eligible to claim hotel expenses incurred for the AGM at ANY hotel, including the Sheraton Centre Toronto Hotel, as hotel arrangements are managed by PIPSC staff as part of the registration process. 

We ask that you please do not contact the host hotel directly.

If you require a car rental, or train, please call BCD at 1-866-768-7624 and indicate the meeting name, date, and location. This information can be found in your invitation email.

Please be advised that when making your travel arrangements, Concur Travel will be using flight credits, where possible.

What travel expenses are covered if I attend the AGM as an in-person Delegate?

Your flight, hotel, per diem, daily allowance (with the exception of breakfast and lunch) and applicable travel expenses (eg. taxi, parking, mileage etc.) will be covered. Please refer to the Policy on Financial Support for Member Participation for further details.

Will there be engagement and networking opportunities?

Yes, the AGM will include social and networking opportunities throughout the event. Details will be posted online as they are confirmed and registration will be managed as part of the main registration process.

Will there be any transportation provided between the airport and venue?

PIPSC is pleased to offer complimentary UBER travel vouchers to all registered participants. The vouchers can be uploaded to your personal UBER account, and all fees related to the ride(s) will be paid directly by PIPSC. Vouchers will be valid for transportation to and from the hotel from Union Station, Pearson Airport and Billy Bishop Airport. For those who prefer to use the UP Express or a taxi for transportation, you may claim these expenses following the event.

Where and when can I check-in for the PIPSC AGM 2024?

Check-in for the PIPSC AGM 2024 will take place on the lower concourse level of the Sheraton Centre Toronto Hotel.

Are Simultaneous Interpretation Devices available, and where do I pick one up?

Yes, Simultaneous Interpretation Devices are available for the PIPSC AGM 2024. Delegates can reserve one during the registration process.

Once checked-in, delegates can pick up their simultaneous interpretation device pre-ordered during the registration process. We encourage both English and French speaking delegates to make use of simultaneous interpretation, so that everyone can fully participate in the bilingual content of the AGM.

Lost or damaged devices will be charged back to the member at a cost of $50 per translation device.

What is there to do in Toronto when we have free time?

There are many tourist attractions located in downtown Toronto that you can visit while you are in the area. Visit the Destination Toronto website for more information.

There are also some NHL games scheduled and you can get great prices on tickets online.

Will there be orientation sessions held in advance of the event?

Yes, the PIPSC AGM 2024 Orientation Sessions will take place virtually via Zoom in advance of the event on November 1st and 6th, 2024. These sessions will be hosted in both English and French and will provide all delegates an overview of what to expect at the AGM and introduce them to the rules of procedure so they can fully participate throughout the event. Registered delegates will receive an invitation to register this fall, so keep an eye out for that email.

Will child care services be available onsite at the PIPSC AGM?

We are pleased to offer child care services again at this year’s AGM. Child care will be available during official AGM Business. Additional evening childcare needs will be the responsibility of the parent. Pre-registration is required so that the childcare provider is able to best accommodate your needs. We will be sending out an email in the fall with child care registration information to all registered delegates in the fall.

How do I submit a late resolution or an amendment to a resolution?

Please email the late resolution or amendment to the Resolutions Sub-Committee at: resolutions@pipsc.ca. You will be notified by email if your amendment requires clarification.

Is there parking available at the hotel?

There is a limited number of parking spaces available at the hotel. We cannot guarantee parking for your vehicle should you require it. Please see the parking locations below for additional parking options.
