2019 AGM Information

Good day 2019 AGM Delegates and Observers,

Congratulations on having been selected to represent your constituent body at the 100th AGM, which will be held on November 8-9, at the Hilton Lac Leamy, in Gatineau, QC.

As we are getting close to the event, we would like to provide you with some valuable information which will hopefully help in making this AGM a pleasant and positive experience for each of you.


2019 AGM

The 2019 AGM (“Leading Progress”) will be chaired by Sean O’Reilly (CS, NCR), assisted by Parliamentarian, Stéphanie Fréchette (CFIA S&A, QC).

The meeting will begin on Friday, November 8th, at 8:30 a.m. and will recess at 4:00 p.m. (at the latest) that day, to allow for the hotel staff to prepare the ballroom for the PIPSC 100th Anniversary Reception.

The meeting will resume on Saturday, November 9th, at 8:30 a.m. and is scheduled to adjourn at 5:00 p.m. The AGM will be conducted in both French and English. As such, please make sure that you pick up an interpretation head set at the registration desk, along with your voting device.

CODE OF RESPECT

As approved by the Board of Directors, a Code of Respect will be presented to the 2019 AGM delegates for approval. All are encouraged to familiarize themselves with that document, which can be found on the AGM virtual binder.

REGISTRATION

The AGM Registration Desk (at the Hilton Lac Leamy) will open on Thursday, November 7th, at 2:30 p.m. and will remain open until approximately 10:00 p.m. Registration re-opens on Friday, November 8th, as of 6:30 a.m.

PLEASE NOTE – Only AFS, AV and SP Group delegates and observers will be able to register at the Delta Hotel on Thursday, November 7th, 2019 from 2:30 p.m. to 10:00 p.m. Delegates will also be able to pick up their AGM binders and other AGM-related information, electronic voting devices and interpretation devices at that same location.

AGM VIRTUAL BINDER

The 2019 AGM virtual binder is available for review on our Website.

A complete paper binder or USB key will also be provided to you upon registration at the AGM.

ORIENTATION SESSION

An orientation session will be held on Thursday, November 7th, at 5:30 p.m., in Salon Walker, at which important AGM-related information will be provided to ensure you benefit from your AGM experience to the fullest. This will also be an ideal opportunity to ask questions and network with fellow delegates. All are welcome and we encourage all new delegates and observers to attend.

HOSPITALITY SUITES

Groups and Regions will be charged for the rental of hotel supplies (glasses, dishes).

ALL DELEGATES BREAKFASTS

Friday, November 8th and Saturday, November 9th, 7:00 a.m. - There will be an “all delegates breakfast” served in the Theatre (on the Casino side) and in the Grand Salon at the Hilton Lac Leamy. Delegates will not be able to claim the per diem for that meal. Tickets will be picked up at the entrance.

AFS Delegates will be having breakfast at the Delta, in the Panorama Room (penthouse level) on both Friday and Saturday (Nov 8th and 9th). Tickets will be picked up at the entrance.

LUNCHES

Boxed lunches and soup will be provided on both Friday, November 8th and Saturday, November 9th and will be available for pick up in the Theatre and in the Salon Royal (on the Casino side). Tickets will be picked up at the entrance.

Please note that as the following meals will be provided, delegates will not be able to claim:

  • Breakfast on Friday and Saturday (Nov 8th and 9th)
  • Lunch on Friday and Saturday (Nov 8th and 9th)
  • Dinner on Friday (Nov 8th)

FRIDAY NIGHT RECEPTION – PIPSC 100TH ANNIVERSARY

The PIPSC 100th Anniversary Reception will take place in the Hilton Lac Leamy ballroom, starting at 7:00 p.m. and ending around midnight. All delegates are entitled to bring one guest and children will not be permitted to attend. As food will be served, delegates will not be able to claim the dinner per diem.

Two drink tickets will be provided to all.

HOTEL SHUTTLES

There will be continuous shuttle service between all three hotels for the duration of the AGM. Please note that two of the shuttle buses will be adaptable to accommodate delegates with mobility issues. Delegates should plan to leave the Ottawa hotels early, especially on Friday morning, to have time for breakfast before the start of the meeting.

The schedule will be as follows:

Thursday, November 7th – 1:00 p.m. to 11:30 p.m.

Friday, November 8th – 6:00 a.m. to 12:30 a.m.

Saturday, November 9th – 6:00 a.m. to 8:00 p.m.

FINANCIAL FORUM

A Financial Forum will be held on Friday, November 8th, at 4:15 p.m., in the Salon Royal, at the Hilton Lac Leamy (on the Casino side). This session will be chaired by the Finance Committee Chair, Chris Roach.

SPECIAL ACCOMMODATIONS

Members of the Human Rights and Diversity Committee (HRDC) will have a kiosk close to the registration desk for the duration of the AGM to assist delegates with any accommodation requirements.

AIRPORT SHUTTLES

BCD Travel will be providing shuttle service to and from the Ottawa Airport, starting on Thursday, November 7th. The shuttle schedule will be available at the three hotel reception desks as well as at the AGM registration desk (at the Hilton Lac Leamy). SERVICE PLUS / OTTAWA SENATORS

On Thursday, November 7th, the Ottawa Senators will be playing the Los Angeles Kings. ServicePlus has organized group pricing and complimentary shuttle service from the hotels to and from the game (at the Canadian Tire Centre).
