January 19th, 2023 – 12 to 1 pm

1. Approval of Agenda
· Minor modification:
o Add items:
1. 5a. SP Group
2. 5b. PSAC
3. Add item between items 6 and 7 regarding concerns regarding adding Classification of applications as part of job for Examiners.
· Agenda approved by all.
2. Approval of November 24th, 2022 executive meeting minutes
· Minutes of the previous meeting approved by all.
3. 50 Victoria Street AGM Feedback
· Overall AGM went well.
· Voting via MS teams went well with minor hiccups.
4. The SP AGM will be held in April 1st 2023
· SP AGM will be held in Toronto.
· Call for delegate application deadline is 27th January.
· We will be sending 1 delegate (everything covered including salary replacement from March 29-April 1st) besides Marcel (2 delegates in total) and an observer (everything covered except salary replacement from March 29-April 1st).
· Main focus will probably be on bargaining update.
· Travel will be limited via train or own vehicle for meetings held in Montreal, QC or Toronto, ON.
5. Bargaining Update
· We have had @5-6 bargaining sessions so far with Treasury Board.
· Non-monetary items put forward (i.e. telework).
· Pay proposal to T.B. to be put forth @spring time frame (we should have better inflation data by then to back up our pay proposal).
Action: Mary to add a line in the budget (to be presented at the 50 Victoria Street AGM) increasing the allocation for sending an Observer(s).
6. 50 Victoria Street AGM
· The AGM will be 100% virtual via Teams on December 1st, 2022.
· No minimum requirement of attendees for the AGM. For voting, the quorum must be at least half of the attendees.
· To the Budget being presented add a motion (motion by Marcel, seconded by Jay and approved by all) for a donation to charity ($2000 to food banks ($1000 to one in Ottawa and $1000 to one in Gatineau)).
· Agenda for the AGM:
1. Introduction of the sub-group executive members.
2. Approve the agenda.
3. Approve the minutes of the 50 Victoria Street AGM from 2019.
4. Why we are holding the elections. Explain all sub-group exec. members are up for election. To ensure continuity with level of experience of the sub-group executive members, the following will have 2-year terms (President, treasurer, 3 Members at Large) and the following positions will have 1-year term (VP, Secretary, 3 Members at Large) (These terms then switch to 2-year terms). Note: If any 2-year Members at Large positions are unfilled, they will be converted to 1-year positions.
5. President's report.

8. Short bargaining report (by Marcel. We will have a dedicated presentation in the spring).

Actions:
1. As Maria is not continuing on as a member-at-large, she will control the voting/polling (Akid will act as a backup if Maria is unable to attend). Voting will be completely anonymous.
2. Mary to add a line under expenses regarding donation to food banks for 2023.
3. Marcel to confirm with PIPSC Finance on how we can donate money to food banks.
4. Marcel to send out invite for the 50 Victoria Street AGM to all members.
5. Marcel to verify translations for the positions coming up for the elections.
