The Professional Institute of the Public Service of Canada, a national union representing some 70,000 professionals and scientists throughout Canada, requires a HRIS Specialist for a 12-month term for its National Office in Ottawa.

What can I expect to do in this role?

Under the direction of the Director Human Resources, the HRIS Specialist is responsible for the development, implementation, and maintenance of the Human Resource Information Systems (HRIS). This role includes ensuring the integrity of HR data, generating reports, and providing technical support to HR staff. The HRIS Specialist works collaboratively to carry out complex tasks related to HRIS and supports various HR initiatives to enhance the organization's human resource management system. This role requires a strategic thinker with a deep understanding of HR processes and technology to ensure the system meets organizational needs. The specialist will work closely with HR, IT, and other departments to support the seamless integration and functionality of the existing HRIS.

Primary responsibilities:

  • Lead the project planning, scoping, and execution phases of the HRIS implementation.
  • Configure the HRIS to support HR processes such as recruitment, onboarding, payroll, benefits, performance management, and employee self-service.
  • Regularly update the system to incorporate new features and improvements.
  • Troubleshoot and resolve any system-related issues promptly.
  • Collaborate with Information Technology staff to implement complex workflow processes.
  • Collaborate and Consult with HR and other stakeholders to lead system upgrades and modifications, streamline HR processes, integrate data with other systems, and drive automation initiatives.
  • Ensure data integrity in systems by running queries and analyzing data.
  • Collaborate with HR stakeholders to understand system requirements and develop solutions to meet their needs.
  • Provide technical support and training to HR users, ensuring they can effectively navigate and utilize the HRIS.
  • Analyze HR data and generate reports, metrics, and dashboards to support HR analytics and data-driven decision-making.
  • Serve as a point of contact for HRIS-related inquiries and provide timely resolution or escalate issues as necessary.
  • Conduct regular audits and data checks to identify and resolve data inconsistencies or errors within the HRIS.
  • Stay updated with HRIS industry trends and propose system enhancements.
  • May be requested to perform other related duties as required

Knowledge and Experience Requirements 

Education / Experience: 

  • University degree in human resources, information technology, or a related field
  • Three (3) to five (5) years' experience as HRIS Specialist or in a similar role, or 
  • An equivalent combination of education and experience.

Language requirement:

  • Fluency in both French and English is an asset

Skills and experience required:

  • Proven experience as an HRIS Systems Specialist or similar role, with expertise in managing and optimizing enterprise HRIS systems, mandatory  ADP modules.
  • In-depth knowledge of HR processes and data management principles.
  • Strong understanding of HRIS functionalities, data structures, and system configurations.
  • Proficiency in using HRIS platforms, experience working in ADP Workforce Now is a must.
  • Experience in HRIS implementations, upgrades, and integrations.
  • Strong analytical skills and the ability to translate HR data into meaningful insights and reports.
  • Knowledge of data protection regulations and confidentiality requirements in handling HR data.
  • Strong technical aptitude and problem-solving skills to troubleshoot system issues and provide user support.
  • Excellent attention to detail and accuracy in managing HRIS data and configurations.
  • Excellent communication and interpersonal skills to collaborate with stakeholders at all levels.
  • Strong organizational and time management skills to handle multiple tasks and meet deadlines.
  • Continuous learning mindset to stay updated with HRIS trends and best practices.
  • Ability to work independently and collaboratively in a team environment.

Compensation Package

  • Salary Range: $96 587 to $120 734 (G6)
  • Group Benefits (Health, Dental)
  • Vacation (4 weeks/year) and other generous paid leave
  • Paid time off from December 27th to 31st

Preference will be granted in accordance with the Collective Agreement for the IAM local 3011 bargaining unit.
