Dear members,
The AGA is an opportunity to learn about the current activities and important issues of our union. It is also the time for the SH Sub-Group/Local Section members to elect the executive team through elections.
The executive team usually includes a President, a Vice-President, a Secretary-Treasurer, or depending on the case, a Secretary and a Treasurer. Terms are 1 year, 2 years and 3 years.
During the AGA, Fouad Chedraoui will deliver a session on the security issues of Artificial Intelligence.
There will be door prizes. Snacks, coffee, and more will be available for everyone.
Your presence is highly recommended, as we will also share information concerning the Federal Budget (CUTS), negotiation issues for the SH and IT Groups, as well as other ongoing and future challenges facing our union.

Roles and Responsibilities of the Elections Committee
Planning the Electoral Process
- Determine important dates (nomination period, voting, ballot counting, etc.).
- Define electoral rules (eligibility, voting procedures, term duration, etc.).
Call for Nominations
- Inform sub-group members of available positions.
- Receive and validate nominations according to established criteria.
Organization of the Vote
- Prepare ballots (paper or electronic).
- Ensure confidentiality and security of the vote.
- Supervise the voting process.
Counting and Results
- Count votes transparently.
- Announce official results.
- Handle any disputes or irregularities.
Archiving and Accountability
- Document the electoral process.
- Report to the sub-group members or the parent organization.
Roles and Responsibilities of the Activities Committee
- Create, plan, and coordinate group activities that strengthen the sense of belonging.
Committee Functions
- Identify needs and interests: Surveys or discussions to learn members’ preferences (e.g., sports, wellness workshops, celebrations).
- Activity Planning: Establish an annual or seasonal calendar. Plan necessary resources (budget, materials, venues, permits).
- Logistics: Reserve spaces, order supplies, manage registrations. Coordinate with other departments (e.g., HR, security, management).
- Communication: Promote activities to members (posters, emails, meetings). Encourage participation and gather feedback after events.
- Evaluation and Improvement: Assess participant satisfaction. Adjust future activities based on feedback.

Role and Responsibility of the RAND Members Committee
Inform and Raise Awareness
- Explain to RAND members what the RAND formula is.
- Clarify the differences between being a RAND member and a regular member.
- Promote the benefits of becoming an official union member.
Encourage Membership
- Organize membership drives.
- Answer questions or concerns from RAND members.
- Offer information sessions or one-on-one meetings.
Create a Link with the Union
- Encourage inclusion of RAND members in group activities (without violating union rules).
- Identify barriers to membership and propose solutions.
Follow-up and Reporting
- Keep statistics on RAND members up to date.
- Report to the local union executive committee on progress and issues.
In a setting like healthcare, where union solidarity is essential to defend working conditions, safety, and quality of care, reducing the number of RAND members allows:
- Increased bargaining power for the union.
- Strengthened democratic participation.
- Better worker representation.
A RAND member is a person covered by a union collective agreement but who has not signed their union membership card. They still pay a mandatory fee (under the RAND formula) but do not have the same rights as a regular member, particularly regarding voting or running for union positions.
Main Role and Responsibility for an AGM Committee
Ensure a democratic moment where members can:
- Review annual reports.
- Elect their representatives (if applicable).
- Express opinions on the sub-group’s future directions.
Key Roles and Responsibilities
- Organizing/Executive Committee of the Sub-Group
- Plans the AGM (date, location, agenda).
- Prepares documents (reports, financial statements, previous minutes).
- Sends out official notices to members (usually 15 to 30 days in advance).
- Handles logistics (room booking, materials, reception, quorum).
- Chairs or facilitates the meeting (often the president or a designated member).
- Committee Secretary
- Drafts and distributes the agenda.
- Takes notes on decisions and interventions.
- Writes the minutes of the AGM.
- Treasurer or Finance Officer
- Presents the annual financial report.
- Answers questions about expenses, budget, forecasts.

- Ensure transparency, visibility, and member engagement by sharing relevant information in an accessible and engaging way.

- Create ways to gather member feedback (suggestion box, surveys, etc.).
- Adjust communication strategies based on expressed needs.
