Mandate and Work Plan 2018

ITSP Mandate as approved by 2015 AGM

17.11.2 Mandate The Information Technology Services and Projects Committee shall advise and make recommendations to the Board on Information Technology Services and Projects issues.

The ITSP Committee has a balance of 3 returning members and 3 new members for 2018. The new 2018 ITSP Committee of the Board held its first meeting on Saturday March 24, 2018 at the National Office in Ottawa. At our first meeting Allen Iverson the new Director of Informatics was introduced to all ITSP committee members and stayed for the whole ITSP committee meeting. Allen joined the Institute in February 2018, and is still getting a handle on all aspects of his team and the Institute.

Here are just some of the other projects that Informatics is working on with other groups within the Institute; the roll-out of Nation Builder, 2nd phase of the PIPSC website, video conferencing for boardrooms, application training for Informatics staff and training education for all Institute staff.

The ITSP Committee as identified the top priority projects that the ITSP Committee will be working on in collaboration with the Director of Informatics and the rest of the PIPSC Informatics team. Most of these projects were started in 2017 and are part of the overall PIPSC Operational Plan.

The ITSP committee is one of the few committees that look at the actual services we provide to our membership and the staff of the Institute. As IT has changed over the years and as more business rely heavily on IM/IT services to succeed and to delivery on it services, it is more important now to have a solid IM/IT Strategy Plan and Modernization Plan in a Operational Plan.  

This is the year of further change, the Informatics staff and the ITSP Committees has been working hard over the last few years on many of the IT Modernization Plan and Operational projects for both members and staff which have laid a solid foundation for the committee to continue this year.

There will be a focus on a few main projects like the migration to the Office 365 suite and we will finally see the email migration of Novell GroupWise to Microsoft Exchange and Gmail. There will also be a roll-out of G Suite which is a brand of computing, productivity and collaboration tools, software and products developed by Google. We will be able to use a range of cloud programs including Gmail, Google Documents, Spreadsheets, Calendar, Presentations, Forms/Surveys to name a few. Training and education for Informatics staff and all Institute employees’s as well our members will be part of the project.

The Strategic Meetings Travel and Expense Management (SMTEM) project will allow PIPSC to implement a long awaited electronic expense claims management system. This project covers an AGM resolution on providing better access for members when reserving travels for Institute related business. The project will also allow PIPSC to provide an improved new service to members in a cost effective manner all the while in keeping with our Strategic Mandate. Overall, the SMTEM initiative will serve in broadening, modernizing and streamlining how we strategically manage our meetings, events, travels and expenses claims while increasing active member satisfaction with the processes, something that our members have been requesting for many years.

It is once again an honour to be the Chair of the ITSP Committee and bring a different approach for the ITSP Committee. We will continue working in a collaboration approach and are working together (Better Together) with Allen and the whole PIPSC Informatics staff by assisting them on the research and testing of the various projects that were started in 2017. The ITSP Committee will also play a role of reviewer of any of the requirement documents or on guidelines best practice documents for the projects this year and will be bringing the recommendations to the Board, if required. 

Oh behalf of ITSP Committee I would like to officially welcome Allen Iverson to the Institute as I know he is a great addition and asset to the Institute, welcome Allen.

This report mandate and work plan is respectfully submitted on behalf of the 2018 Information Technology Services and Projects (ITSP) Committee. Our next ITSP Committee meeting is scheduled for Monday June 18, 2018.
