Deadline for Registration – August 23, 2017

The Prairie/NWT Regional Steward Council will be held Friday, September 29 and Saturday, September 30, 2017. The location is the Chateau Lacombe in Edmonton, Alberta. The Council will last 1.5 days beginning on Friday at 1:00pm with Registration. The official meeting starts at 2:00pm on Friday, September 29. On Saturday, the Council will continue all day starting at 9:00am and concluding at about 5:00pm. No events are scheduled for Saturday evening.

The intent of the Council is to provide training and information as well as an opportunity for stewards to expand their network. To attend the Council, stewards must complete the on-line registration form. The form is found on the PIPSC website.

THE FOLLOWING TRAVEL AND ACCOMMODATION INFORMATION HAS BEEN PROVIDED FOR THE SOLE PURPOSE OF ASSISTING STEWARDS TO AVOID BOTH MISUNDERSTANDINGS AND EXPENSES THAT WILL NOT BE REIMBURSED WHEN RELATED TRAVEL CLAIMS ARE SUBMITTED AFTER THE EVENT:

Guest Rooms — accommodation for in-town registrants, with a check-in date of Friday, September 29, will be “upon request only”. Taking into consideration the meeting end time of 5:00pm, accommodation for Saturday night is provided to stewards who cannot arrive home before 8:00pm, travelling by the most direct route and excluding a meal stop. The Office Administrator will book the hotel guest room for each steward as per the travel policy.

Cancellation — the cost of the hotel stay will be guaranteed and paid by the Institute via a master account. Please be aware that PIPSC will be charged in full for any rooms booked and not released by the deadline, whether they are occupied or not. Should you have to cancel the hotel guest room at the last moment, please contact the hotel directly one day prior to your arrival date to cancel your booking. For your registration cancellation, notify Prashila Chand, Office Administrator, Edmonton PIPSC Office. Prashila can be contacted at (780) 428-1347 or 1-800-661-3939, x3421. Proof of cancellation must include the cancellation number and the name of the hotel agent that accepted same. Failure to do so may result in a “no show” billing from the hotel. The Institute may wish to pay the charges in order to maintain good relations with the hotel. In that case, the cost will be recovered from the steward. Any extra services charged to the room are to be paid by the steward.

Transportation — travel arrangements can be made through BCD Travel (1-866-768-7624). If you are driving, please advise Prashila Chand, PIPSC Edmonton Office Administrator. Any car rental requests must be pre-approved by PIPSC. Stewards can claim the lesser of the actual round trip kilometers driven or $700. This cap is based on Air Canada Flight Pass charges and ground transportation. Compensatory salary and meal expenses will be reimbursed based on travel by plane.

Compensation For Leave Institute policy allows for compensating participants who use vacation leave, compensatory leave or union leave without pay for attendance at a Steward Council. The participant must complete an Institute Compensatory Salary Claim form and attach a copy of a completed employer’s leave form which indicates that the leave has been approved. The form can be found on the PIPSC website.

The Institute will reimburse reasonable travel and salary expenses incurred to attend the Council.

General Expenses — expenses incurred by participants will be reimbursed in accordance with the PIPSC Travel Policy which is available at the following link:
