ATLANTIC REGIONAL STEWARD COUNCIL

The Atlantic Regional Steward Council will take place on Friday, October 19 and Saturday, October 20, 2018, at the Delta Halifax. The Council will be one and one half days; starting on Friday at 1:00 pm, with registration beginning at 11:30 am. The Council will continue all day Saturday starting at 8:30 am and will conclude at 4:30 pm.

The intent of this meeting is to provide training and information, as well as an opportunity to network with fellow stewards. Workshops are planned to assist you in further developing your skills as a steward and promote discussion concerning current issues.

ON-LINE REGISTRATION

The on-line registration will close at 5:00 pm on Friday, September 14, 2018.

We will be unable to guarantee your hotel accommodation if we do not receive your on-line registration form by the deadline.

We will be ordering T-Shirts for Stewards.  The shirts are blue with the TUIF- (Thank a Union it’s Friday on the front of the T-shirt.  The T-shirts are available in Men’s or Women’s sizes.  Have a look at the shirts at the links below.  You will be asked for your size when you complete the online registration.

Guest rooms will be reserved on your behalf after you have registered on-line.    

Accommodations will be provided on Thursday night for delegates who would have to leave their home before 7:00 am on Friday, October 19, 2018, to arrive at the meeting by 1:00 pm. 

All delegates are entitled to a room on Friday night. Accommodation will be provided on Saturday night for delegates who cannot arrive home by 8:00 pm travelling by the most direct route with a 1 hour meal stop.

In accordance with the Policy on Balancing Union Activity and Family Life, a member who lives more than 16 km from the meeting location, who requires accommodation on the Friday of a Steward Council and who is accompanied by their spouse or significant other and/or their immediate family, will be entitled to accommodation on Saturday night for themselves and their spouse or significant other and/or their immediate family.

Hotel guests are required to present a valid credit card upon check-in at the hotel to process your room reservation. This will cover incidentals and/or any miscellaneous room charges which are the responsibility of each guest. The cost of accommodations, tax and self parking will be direct billed to the Institute. 

Check in time is 3:00 pm and check out time is 12:00 pm.  While every effort will be made for guests to have access to their rooms when they arrive, this may not be possible and your room may not be available until 3:00 pm.  Late check-out is provided based on availability through authorization from the Front Desk.  PIPSC will not be responsible for additional costs for late check-outs.

The rooms are guaranteed for late arrival.  Should you have to cancel at the last minute, please call the hotel directly to cancel your room prior to 4:00 pm. Failure to do so may result in you being charged directly for the room.   

EARLY DEPARTURE FEES

In the event that a steward checks out prior to their reserved checkout date, an early departure fee of one night’s stay plus taxes may be charged to you.  If you wish to avoid this fee, you must advise the hotel at or before check-in of any change in the scheduled length of stay.

MEALS

At this year’s Steward Council you must indicate on the registration form which meals you wish to participate in.  The Friday Soup and Sandwich lunch is optional and Saturday breakfast and lunch are optional as well.  You will be eligible to claim the meal per diem for meals you opt out of.  All meals you have selected on the registration form cannot be claimed even if you decide not to partake of those meals. Please advise us of any special dietary requirements, or allergies when completing your on-line registration form.  Although we will advise the hotel of your requirements, you will need to advise your server during meals.

Please do not take food from the banquet rooms or break stations back to your room.  This food is provided for stewards, executive, staff and presenters only.

TRANSPORTATION

Car rental requests require pre-approval through the Halifax PIPSC office. Please call BCD Travel at 1-866-768-7624 and ask for a rental estimate. Please email the estimate and your request to cpinks@pipsc.ca .

PARKING

Delta Halifax offers parking for registered guests. Parking charges will be billed to the PIPSC master account.

As per the travel policy, PIPSC will cover the self parking charges of one vehicle and valet parking is not covered unless you drive an oversized vehicle which will not fit in the parkade.

COMPENSATION FOR LEAVE

Institute policy allows for compensating participants who use vacation leave, compensatory leave or union leave without pay for attendance at a Steward Council. The participant must complete an Institute Compensatory Salary Claim form and attach a copy of a completed employer's leave form which indicates that the leave has been approved. The form can be found on the PIPSC website.  

OTHER

Dependent and/or child care expenses will be paid by the Institute where receipts are provided, in accordance with the PIPSC Travel Policy.

STEWARD OF THE YEAR AWARD

We encourage all members in the Atlantic Region to come forward and provide their nomination(s) for the Steward of the Year Award. If you feel there is a Steward in the region that deserves this award, please review the criteria and nomination form. Your completed form should be emailed to cpinks@pipsc.ca by Friday, September 14, 2018.

RETIRING STEWARDS

If you are aware of any stewards retiring this year, please advise Catherine Pinks at cpinks@pipsc.ca by Friday, September 7, 2018.

SCENT FREE

The Atlantic region is SCENT-FREE in order to provide a more comfortable environment for meeting participants.  We would appreciate your cooperation in eliminating the use of any scented products (perfume, cologne, hair spray, scented soap products, etc.) when attending Institute Atlantic Regional functions.  For individuals who have sensitivities to such products, this will help us to maintain a safe and healthy environment for all.  Your cooperation and assistance is greatly appreciated.
