The Professional Institute of the Public Service of Canada, a national union representing some 55,000 professionals and scientists throughout Canada, requires a bilingual Administrative Assistant in its Negotiations Section at its National Office.

The Position:

Under the direction of the Director, National Labour Relations the Administrative Assistant is responsible for providing administrative assistant in support of assigned groups such as elections, executive meetings, annual general meetings and the Pension and Benefits Officers. Responsibilities also include:  arranging travel, accommodations and logistics for meetings, scheduling appointments, events and meetings and logistics for same, arranging and obtaining approval of contracts for the purpose of required services, responding to enquiries for internal and external clients and conveying relevant information to members. The incumbent will also be required to receive, sort and distribute mail and correspondence as well as compose, type, format, proofread various documents, and maintain files, records and reference material. Also included in the responsibilities are updating and maintaining information in appropriate databases and recording and producing minutes of meetings and performing other related duties.

The Candidate:

The successful bilingual candidate has successfully completed secondary school, or provincial equivalent, and has over two to three years’ office experience in performing secretarial, clerical and administrative duties, or an equivalent combination of education and experience. Also required are:  knowledge of the Professional Institute’s organization and structure, basic knowledge of labour relations terminology, experience in general office practices and procedures and data manipulation skills. The incumbent must also have the ability to set work priorities, take and transcribe minutes of meetings, maintain a filing system, compose routine correspondence, and proofread and correct errors. Also required are computer skills and experience with word processing and electronic communication tools.

The Salary: $43,851 to $54,816 (G2)
